Reporting to the VP of the Affinitiv EPO (Enterprise Program Office), Affinitiv seeks a self-motivated, highly organized, results-focused, and detail-oriented Program Manager who is proactive and passionate about the Company’s products and clients. To succeed in this position, candidates should have exceptional communication and problem-solving skills and be resourceful, analytical, and adaptable with the ability to build rapport with all team members. The Program Manager is responsible for implementing the strategy set by the Account Management team and owns overall success for the assigned OEM initiatives.

Position Responsibilities:

  • Coordinate engineering and operations efforts:
    • Manage feature requests and business requirements including creation of initial Jira tickets
    • Prioritize engineering tasks with internal and OEM stakeholders
    • Coordinate system updates for new model years, including service plan, VMG and accessory trigger updates
  • Coordinate national product and major feature launches:
    • Plan pilots with Account Management Team and delivery departments, including setting objectives and success criteria
    • Coordinate training for OEM corporate, OEM field and dealers, Affinitiv internal and external field reps and support reps
    • Plan rollout with Account Team and delivery departments and set up feedback loop
  • Responsible for providing internal and OEM reporting:
    • Account success metrics
    • Internal executive-level reports on program success metrics
    • Monthly and/or ad hoc reports to OEM as needed
    • Coordinate client quarterly business reviews (QBRs) in partnership with Account Management Team
    • Coordinate client executive business reviews (EBRs) in partnership with Account Management Team
  • Partner with delivery departments and Account Management Team to document and maintain, as needed, the following:
    • Release notes (as well as disseminate to various audiences including OEM Corporate, OEM field, dealers, and internal and external field representatives)
    • Online training materials for dealers, field representatives, and OEM personnel
    • OEM integrations (e.g. file feeds and APIs)
  • Meeting and schedule management
    • Schedule internal meetings as well as draft, store and disseminate notes
    • Draft notes for external meetings to share with Account Management Team for consideration and store final meeting notes
    • Maintain monthly calendar in partnership with Account Management Team
    • Lead weekly internal cross-department status calls
  • Contribute to and uphold quality standards at Affinitiv
    • Assist in product QA
    • Ensure customer communications either authored or reviewed by Program Manager are professional and positively represent the Company
  • Marketing and escalation support for OEM:
    • Handle support escalations from OEM and field reps; run weekly VID ticket review meeting
    • Coordinate survey marketing plans in partnership with Account Management Team
  • Work with billing specialist and Account Management Team to ensure client is sent accurate and timely invoices

Position Requirements:

  • 4-year college degree or commensurate experience
  • Client-facing skills:
    • 3+ years external client management skills required
    • Track record of building strong, trusted client relationships preferred
    • Experience assisting sales teams
    • Experience managing SaaS client relationships preferred
  • Technology skills:
    • Understanding and experience with standard SDLC processes and methodologies
    • Exceptional critical reasoning skills
    • Moderate or better skills in Excel
    • Experience with Jira a plus

  • Keep up to date with latest tools, technologies, and strategies and introduce new ideas to the team.

About the role:
Plans and coordinates virtual and in-person education programs of varying sizes in support of in-house and external WATCHMAN Product Education. Develops on-site and off-site plans and budgets. Investigates, coordinates, arranges and contracts for hotel accommodations, vendor services, travel and ground transportation, communications and facilities support. Directs multiple service contractors and subcontractors orchestrating large-scale events supporting healthcare providers and senior company executives.

Your responsibilities will include:

Develops and conducts product training and education programs for company personnel and external customers that support area and company goals.
Collaborates with Medical Education and Skills Training team members to create programs to ensure learning objectives are successfully met. This includes proposals, budget management, and project management.
Develops and maintains databases and ensures information is complete and accurate.
Creates and reports metrics to senior leadership and internal partners.
Organizes and facilitates program planning meetings (e.g., strategy sessions, progress checks) to ensure that all parties involved are properly informed and contributing, as necessary, to assure program success and to ensure that program objectives are met.
Develops program collateral for education continuum and programs.
Communicates with customers to coordinate logistics for their participation in the event (e.g., hotel, transportation, schedule).
Develops relationships with faculty, fellows, and attendees to encourage continued participation and to foster positive relationships between Boston Scientific and clinicians.
Communicates with management and sales representatives to coordinate their participation by determining the nature of their involvement and informing them of the logistical details.
Provides direction to third party vendors by meeting to incorporate ideas, goals, and budget and to ensure vendor has clear concept of what is required for the final product.
Manages all aspects of registration for courses including invitations, travel and hotel accommodations to ensure that logistics are effectively managed for all participants and faculty.
Attends events to ensure that details associated with participants, lodging, equipment needs, guest speakers and agendas are attended to and that problems are corrected.
Identifies opportunities to improve the efficiency and effectiveness of the systems and process being used.
Evaluates the effectiveness of programs by soliciting participant feedback, summarizing results, and formulating recommendations to determine successes and areas of improvement, which will be used to improve subsequent program effectiveness.
Archives all documents and records pertaining to program management (e.g., research files, contracts, agreements, correspondence) by maintaining secure files to ensure program/project information remains confidential and is available for future reference.
Prepares status reports by analyzing and compiling data, projections, and relevant information for submission to management to ensure pertinent issues, changes, and updates are communicated.
Participates in special projects as they arise.

Required qualifications:

Bachelor’s degree and 4+ years of related experience preferably in the medical device industry and or combination of education and experience
