The American Heart Association is seeking a Senior Project Manager skilled in managing multi-layer marketing and communications projects for executive leaders. This position can be home based within the United States.

This is a full time, benefits eligible temporary opportunity with current funding through August 2024.

The Senior Project Manager for the Strategic Planning & Operations, Marketing Communications team, provides leadership and oversight for initiating, planning, executing, and evaluating integrated marketing communications projects according to timelines and budgets at the American Heart Association. Reporting into the Director of Planning and Operations, the Sr. Project Manager owns and drives momentum for all day-to-day results as the primary point of contact for highly visible and high-priority marketing communications projects.

The Sr. Project Manager works closely with internal teams and agency partners to ensure that project goals are accomplished on time and that expectations are surpassed. The ideal candidate will be highly flexible, organized, diligent, eager to learn, comfortable with change, self-directed, have strong interpersonal skills and is able to juggle multiple projects simultaneously.

Duties will involve defining project scope and outcomes, building timelines and roadmaps, prioritizing work, aligning resources against project needs, providing ongoing project status updates, assigning, and communicating project needs to stakeholders, scheduling, organizing, and facilitating meetings, working with internal partners and resources to provide ongoing analysis, complete and deliver projects and conduct after-action reviews, as applicable. In this role, the Sr. Project Manager will support large scale cross functional integrated marketing projects like Enterprise-Wide Brand Campaigns, Development of Multi-Stakeholder MarComm plans and execution of Go to Market strategies and tactics. Additionally, the Sr. Project Manager will ensure that projects are on time and on budget.

Responsibilities

Executive Level Project & Program Management

  • Oversee projects from start to finish, organizing kickoff meetings, scoping, and resourcing, status updates, project check-ins, scheduling and facilitating all meetings, providing status updates, and communicating assignments, after-action-reviews and more. Preemptively problem solve to mitigate potential challenges.
  • As the primary contact for project implementation, the Sr. Project Manager will work together with the four teams that comprise the Marketing Communications Department including: Strategic Planning & Operations, Consumer Health, Integrated Marketing and Corporate & Marketing Communications, along with other internal stakeholders and agency partners, to communicate project statuses, blockers, deadlines, and wins.
  • Partner with cross functional teams to ensure marketing communications deliverables for each project are on strategy, on time and on budget. Work across all teams required for project execution to clearly communicate project requirements, ongoing needs, changes in scope and deadlines to ensure flawless execution. Develop detailed project plans and roadmaps in collaboration with various stakeholders or team members. Provides timely and accurate information and status updates to functional leader.
  • Coordinate with cross-disciplined team members to make sure that all parties are on track with project requirements, deadlines, and schedules.
  • Use AHA’s project management and DAM software to develop timelines for all project components: pre-planning, business case development & presentation, creative development, review & approval processes, quality control and uploading of final material for documentation.

Strategic Planning & Analysis

  • Works with program and project owners to develop SMART goals, manage changes, identify risks, and provide mitigation recommendations; raise issues as appropriate. Works with analysts to monitor performance, recommending changes as needed. Conducts post-project evaluation including after-action-reviews, identify successful and unsuccessful project elements and plans for future executions, if applicable.

Administration

  • Schedule, organize, facilitate, and drive status meetings. Develop meeting agendas, highlight key project dates, drive issue resolution, and keep track of follow-up items. Summarize and communicate meeting outcomes and actions to all internal partners.

Qualifications

  • PMP Certification required
  • Five (5) to seven (7) years of the following experience:
    • Project or program management experience, preferably within Marketing and/or Communications. Individual needs to exhibit strong project management skills by managing the following effectively: project timelines, deliverables, budget, team accountability, issue and risk management, status updates among partners and key stakeholders, and project objectives.
    • Ability to work with project teams of various sizes and seniority and see them through to completion on time, on budget, and with maximum efficiency.
    • Exceptional communicator & relationship builder with ability to positively influence stakeholders. Strong verbal/written communication and listening skills, required.
    • Highly organized, detail focused, goal-oriented, accountable with the ability to handle stress and last minute, urgent and/or ambiguous requests.
    • Effectively interact with Mid and Senior Level Management
    • A proactive and creative teammate, who can multitask easily, possesses strong interpersonal, priority-setting, problem solving and strategic skills and the ability to think and lead swiftly.’
    • Proficient in all Microsoft Suite products including Outlook, Word, Excel, and PowerPoint, required.
    • Proficient with understanding and documenting internal and external processes and workflows.
    • Basic analytics and reporting skills, required.

Preferred Qualifications

  • A self-starter who can operate independently and take the initiative to start, own, and refine projects versus limiting the scope to reporting on and tracking projects.
  • Strong interpersonal and mentoring skills, ability to influence and lead a team indirectly.
  • Ability to thrive in fast-paced, dynamic environment and to adjust to new priorities as required, with limited supervision
  • A deadline-driven, no-task-is-too-small mentality.
  • Flexibility to work in an interactive environment with a high tolerance for ambiguity and change.
  • High-energy, positive attitude with clarity, drive, and passion to deliver exceptional work.
  • Strong attention to detail, organization, and time management skills
  • Ability to multitask and work successfully in a matrix organization with competing priorities
  • Communications or marketing experience preferred.
  • Experience working with project management and collaboration tools such as Click Up, Smartsheet or similar program preferred.
  • Agency experience is a plus.
