Title: Senior Executive Assistant to CCO

Location: Wayne

As a Senior Executive Assistant, you will be responsible for delivering excellent administrative support to the Chief Commercial Officer who is a member of DLL’s Global Executive Board, enabling them to execute their responsibilities in an effective and efficient manner.

We are looking for someone with a high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior leaders inside and outside the company. In this role, you’ll have the opportunity to act as an extension of our leaders in partnership with a supportive and collaborative EA community.

We require an energetic, positive, and organized individual who is proactive and detail-oriented, with the ability to anticipate needs and address them creatively. In our dynamic and fast-paced environment, you will take initiative, complete tasks swiftly, and act even without a complete picture. You will familiarize yourself with the organizational structures and objectives of the teams you support, while building a robust internal network. Your keen attention to detail, excellent organizational skills, and ability to meet tight deadlines while managing multiple critical requests will be crucial. Day to Day

  • Manage the CCO’s internal and external calendars, making real-time adjustments to ensure smooth daily operations, even if it means creating new plans on the fly. This requires insight, judgment, prioritization skills, and decisiveness.
  • Handle effective and complex diary management across multiple time zones, prioritizing appropriately in case of scheduling conflicts and deadlines.
  • Access and monitor the CCO’s email inbox, assisting with managing requests, tasks, and reading materials.
  • Craft detailed domestic and international travel itineraries that optimize time and productivity, including travel plans, agendas, meetings, events, transportation, lodging, and visa support when needed.
  • Act as a liaison for the CCO, addressing questions from direct reports and business stakeholders, and handling communications timely, accurately, and confidentially.
  • Develop relationships and liaise with the Executive Board, CCO Management Team, the wider DLL community, including external parties to support the interests of the CCO and DLL.
  • Demonstrate agility in reprioritizing workload based on shifting business needs.
  • Track and drive completion of key deliverables with a focus on deadlines, demonstrating urgency and ownership.
  • Prioritize tasks strategically, balancing urgency and importance.
  • Organize global meetings, record and distribute minutes, and follow up on actions and deadlines.
  • Oversee local and international events, handling logistics, coordinating arrangements for delegates, and setting programs to meet event requirements.
  • Prepare presentations, communications, documents, and reports to support the Global Business Unit President.
  • Execute various supportive tasks on behalf of the CCO and his Global Management Team.

Essentials

  • Minimum 10 years’ experience as an Executive Assistant at the senior executive level.
  • Excellent working knowledge of MS Outlook, Word, and PowerPoint, with basic competence in Excel.
  • Ability to work autonomously, flexibly, and with a high degree of self-initiative, self-confidence, and organization.
  • Proven experience in coordinating all travel arrangements and accommodations for the CCO, including managing complex and detailed domestic and international travel plans, itineraries, and agendas, as well as organizing meetings and events.
  • Outstanding verbal and written communication skills, along with strong project management abilities, including effective communication at the executive level.
  • Highly organized with exceptional follow-through, providing assurance that you’ve “got it” (and indeed, you do).
  • Great team player with outstanding interpersonal skills, sound judgment, discretion, a calm demeanor, and the ability to work in a fast-paced environment.
  • Experience working with large global teams and within a matrixed organization.
  • Experience with end-to-end project management.
  • Ability to establish and develop strong relationships with co-workers and a wider internal and external network.
  • Pragmatic and practical with good common sense; level-headed.
  • Strong time management skills and the ability to prioritize a complex executive calendar effectively.
  • A proactive and resourceful approach with the ability to think independently.
  • Experience in a fast-paced, complex, and demanding environment is essential.
